1. Who we are
BayMetrics is operated by HB Dynamics, LLC, a Delaware limited liability company ("BayMetrics," "we," "us," or "our").
This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices you have. It applies to our website, our web dashboard, our mobile app, and the hardware devices we install in service bays (together, the "Service").

2. Who this policy is for
BayMetrics is a business-to-business product. Our customers are auto dealerships and their service departments ("Customers"). The people who actually use the Service are usually our Customer's staff, such as service managers, advisors, and technicians ("Users").
A few things follow from that:
If you are a User, your dealership decides what data goes into the Service and who gets access. For most questions about your data, your employer is the right first point of contact.
We are not a consumer service. We do not market to the general public, and there is no self-service signup.
When we act on behalf of a Customer and handle data on their instructions, that Customer is the controller of that data and we are the processor or service provider. A Data Processing Addendum (DPA) is available to Customers on request.
3. What we collect
Account and contact information
When a dealership becomes a Customer and when Users are set up, we collect things like names, work email addresses, work phone numbers, business mailing addresses, job titles, and login credentials.
Billing information
Our subscriptions are paid through Stripe, our payment processor. Stripe handles card and bank account details directly.
We never see or store full payment card numbers or full bank account numbers. We keep billing records such as your dealership name, billing contact, invoice history, subscription status, and the last four digits of a payment method for reference. If you ever try to send us a full card number directly, please don't. We will ask you to enter it through Stripe instead.
Bay and device data
This is the core of what the Service does. Our devices sit in service bays and include a camera, an AI processor, and an LED display. From them we collect:
Images of the service bay captured by the device camera
Vehicle detection data, such as whether a bay is occupied, when a vehicle entered or left, and how long a job has run
Device health and diagnostic data, such as uptime, temperature, power events, network status, and software version
Operational data your dealership enters or configures, such as bay names, shop hours, and the technician or advisor names assigned to a job
A note on the camera: our devices are designed to detect vehicles, not to monitor people. The detection model is trained to recognize vehicles and, for technical contrast, the general category of "person." We do not use the Service to identify individuals, run facial recognition, or track specific people. Any person who happens to appear in a frame is incidental to detecting the vehicle.
Because the Devices capture images of service bays, it is the dealership's responsibility to inform its staff and customers that the bays are monitored, and to provide any notice or obtain any consent required by the laws that apply to that dealership.
Usage and technical data
When you use the dashboard, mobile app, or website, we collect standard technical information such as IP address, browser and device type, pages viewed, actions taken, and timestamps. We use this to keep the Service secure, fix problems, and understand how the product is used.
Cookies and similar technologies
Our website and dashboard use cookies and similar technologies for sign-in, security, and basic analytics. You can control cookies through your browser settings. If we ever add non-essential tracking, we will ask for consent where the law requires it.
4. How we use your information
We use the information we collect to:
Provide, operate, and maintain the Service
Set up accounts and authenticate Users
Process subscriptions, send invoices, and manage billing through Stripe
Detect vehicles in bays and generate the reports and timers that are the point of the product
Monitor device health and troubleshoot hardware and software issues
Provide customer support and respond to your requests
Keep the Service secure and investigate misuse or fraud
Improve the accuracy of our vehicle detection models (see Section 5)
Communicate with you about your account, including service updates and changes to terms or pricing
Comply with legal obligations and enforce our agreements
5. AI and model training
Accurate vehicle detection is what makes BayMetrics useful. To improve it, we use images captured by our devices to train, test, and fine-tune the AI models that detect vehicles in service bays.
To be specific about the limits of this:
We train models solely to improve detection accuracy in service bays. Nothing else.
We do not build facial recognition, do not identify individuals, and do not use this data to profile people.
We do not sell, license, or share these models or the underlying images with third parties for their own purposes.
Model training happens within our own cloud environment and the infrastructure providers listed in Section 6.
6. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We have no interest in doing so and our business does not depend on it.
We do share information in these limited situations:
Service providers (sub-processors)
We use trusted vendors to run the Service. They may process data only to provide services to us, under contract, and only for the purposes we direct. These currently include:
Stripe: payment processing and billing
Google Cloud: cloud hosting, authentication, storage, and database services
Google Vertex AI: infrastructure used to train and run our local and cloud detection modelsGoogle Analytics: website traffic and usage analytics for our marketing websites and product usage analytics within the Service
PostHog: product usage analytics within the Service
SigNoz: infrastructure and device health monitoring
We may add or change sub-processors as the product evolves. When we do, we will keep this list current.
Legal and safety
We may disclose information if we are required to by law, subpoena, or other legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, or to investigate fraud or abuse.
Business transfers
If HB Dynamics is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will require the recipient to honor this Privacy Policy or notify you of any material change.
7. How long we keep information
We keep personal information for as long as your account is active and for as long as we need it for the purposes described in this policy. After that, we retain it only as long as needed to meet legal, tax, accounting, or dispute-resolution obligations, and then delete or anonymize it.
Bay images and detection data are retained for the period needed to operate the Service, support your dealership, and improve detection accuracy. If you want to know our current retention windows, ask us.
8. How we protect information
We take security seriously. We use industry-standard measures to protect information, including encryption in transit, access controls, and monitoring of our systems and devices.
No system is perfectly secure, and we cannot guarantee absolute security. In the event of a data breach, we will respond and provide any notifications in accordance with applicable law.
9. Your rights and choices
Depending on your location, you may have rights under laws such as the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), and similar state and national privacy laws. These can include the right to:
Access the personal information we hold about you
Correct inaccurate personal information
Delete your personal information
Opt out of the sale or sharing of personal information (note: we do not sell or share personal information, so there is nothing to opt out of)
Limit the use of sensitive personal information
Receive a copy of your information in a portable format
Not be discriminated against for exercising these rights
If you are a User whose data was entered by a dealership, we may need to direct your request to that dealership, since they control the data. Otherwise, contact us at the address in Section 14 and we will respond within the timeframes the law requires. We may need to verify your identity before acting on a request.
10. Where we operate
BayMetrics serves Customers in the United States, and we process data only in the United States. Our infrastructure providers process data in the United States. We do not market the Service to, or knowingly onboard, Customers outside the United States.
11. Children's privacy
The Service is a workplace tool for auto dealerships and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child's information has been provided to us, contact us and we will delete it.
12. Third-party links
Our website or communications may link to third-party sites or services we do not control. This Privacy Policy does not apply to them. Review their privacy policies before sharing information with them.
13. Changes to this policy
We may update this Privacy Policy as our product and the law change. When we make material changes, we will update the "Last updated" date and, where appropriate, notify Customers by email or through the Service.
